

To effectively process freight claims, you must follow the steps below to report short shipments and visible/ concealed damages. All claim reimbursements are at the discretion of the original manufacturer, vendor or distributor.
DELIVERY GUIDELINES:
All claims for shortage of goods or for loss or damage to goods as to which Seller has the risk of loss shall be waived unless Buyer, within five (5) business days after receipt of the short or damaged shipment, gives Seller written or email notice describing the alleged shortage or damage. Please call us prior and describe the issue so we can help expedite the claim.
CONCEALED DAMAGE:
Visually inspect each piece for damage as it is unloaded and listen for apparent glass breakage. Notate specifics about the outer packaging, including but not limited to crushed, dented, scratched cartons, holes, broken protruding pieces, water stains or any “obvious to the eye” discrepancies.
The following list includes what you’ll need to report concealed damage:
1. Type of damage
2. Quantity of damage or missing items (in units)
3. Description of item and bid/invoice line number
4. If Items in truck/container appear to be toppled over, send images prior to handling
5. Photographs of the damaged packaging and freight: (IMPORTANT)
-Please Note: A request for inspection may be given by telephone or in person, but in either event must be confirmed in writing or email. Unless directed otherwise by carrier, in writing, original packaging must be kept for inspection. Failure to do so can forfeit your rights to damage claim
VISIBLE DAMAGE:
Visible loss or damage is apparent at the time of delivery and should be noted immediately. Noted loss or damage is recorded in detail on the delivery receipt. When recording loss or damage, please use specific details of said damage.
-Virtual Hospitality, Inc. will assist with the coordination of filing the appropriate claim and ordering the replacement items.
ADDITIONAL NOTES:
Changes to designated delivery site will not be allowed once an order is confirmed. All fees or replacement costs associated from changes of original designated delivery site, will result in title and risk of loss passed to Buyer at the applicable F.O.B. point.
